Buildings & Grounds Committee Charter

Purpose 

To perform for the Board activities for the repair and maintenance to common area infrastructure components. Recommendations will be presented by each Committee Chairperson to be considered by the Board in budget and planning processes.

 

 

Responsibilities 

  • Conduct physical inspections of the Building and Grounds of the HOA common area infrastructure components as listed below.
    • Grounds include driveways, sidewalks, patios, mail box stations, lampposts,
    • Buildings include building siding, fascia, and trim, windows and doors, garage doors, wood decks, privacy fences, basements and sump pumps.Develop and manage the respective Committee’s annual operating and reserve fund
    • Present recommendations to the Board for the repair, maintenance, or replacement of the HOA’s infrastructure components.
    • Prepare information for the Board to support Request for Proposals (RFPs), contract sourcing including contractor specifications, best practices, and estimated cost.
    • Track performance against the budget for the initial proposal and any costs incurred on subsequent changes of scope to comply with set budget limits.
    • Track completed repairs for compliance to contract Follow up and inspect the work performed. Verify that the quality of workmanship meets expected standards.

 

Membership

Each Committee shall consist of no less than 2 (two) community member volunteers who have ownership voting rights. Each of the Committee members will be recommended by the respective Committee Chair and approved by the Board. Each Committee will select a leader from amongst its members.

 

 

Term

 Committee members serve for a term of one (1) year, with terms expiring at the annual meeting. Member terms will be automatically renewed for consecutive one-year terms unless the Committee members resign or are no longer needed.

 

 

Authority

The Committee is given the limited authority necessary for the reasonable execution of the stated purpose and responsibilities of this charter. It functions in an advisory capacity presenting specific written recommendations to the Board as appropriate. The Committee chairperson shall act as the liaison to the Board of Directors.
